HR Administration Assistant is urgently needed to work for a multinational Company working in the Petroleum Services Field.

Job Summary:
HR Assistant manage, maintain, store, and track the HR documents, adhering to the company’s quality management system, she/he archives inactive records in accordance with the records retention schedule, as well as controlling the retrieval of documents.
HR Assistant receive and process requests for information from employees or management team.

Responsibilities:
Main Duties:
Undertake control of electronic and hard copy documentation.
Assure compliance with document control, standards, policies can procedures, highlighting any errors or omissions.
Create draft documents based on outlines created by HR manager and HR team.
Be responsible for the maintenance and review of document management process.
Management and maintenance of electronic document control system.
Ensure that the overall activities in the HR department meet the requirements of the quality management system.

Tracking updates:
Assist in maintaining the skills XP software.
Scanning and saving personnel certificates and personnel documents professionally with proper labelling.
To be in charge of keeping the HR department clean and tidy without having pending documents at the office.

Archiving and Retrieving:
Responsible for archiving and retrieving of HR folders.
List all the HR documents (Forms, processes, procedures, work instructions and checklists) and updating them.

Job Summary:
One of the main tasks is to handle cashier duties, receiving and logging supplier invoices, data entry and filling for the accounting and finance department.

Responsibilities:
Custodian of Company’s Petty Cash.
Provide Cash Advances to Employees as per company’s policy.
Receiving and logging all supplier invoices.
Sending Supplier invoices to various departments for checking and approving.
Following up on these invoices with various departments in case they were not approved on the spot.
Data Entry in the Company’s Accounting system.
Responsible for all the department’s filing.
Preparation of payments to suppliers either by cheque or bank transfer.
Preparation of monthly Max Gulf Payments.
Preparation of Local Withholding tax returns with assistance from Other Senior Accountants.
